How to interpret the Analytics dashboard

This guide explains every metric on the Analytics → Dashboards page so you know exactly what each number represents and what data feeds it.

How the dashboard works

The page has three tabs — FinancesOperations, and Leads — that all respect the date range you select at the top. The default is the last 3 months. Every metric is scoped to your organization and recalculated when you change the range, with two exceptions on the Finances tab that always use "right now" (called out below).

  • Finances — money in, money out, and what's projected

  • Operations — lessons, students, and staff activity

  • Leads — sales pipeline activity


Finances tab

Amount received

Sum of all payments recorded in the date range that were applied to an invoice. Includes the payment processing fee, proportionally allocated to each invoice the payment paid down. Based on the date the payment was recorded, not the invoice date.

Projected amount received (next 30 days)

Sum of expected revenue from every scheduled lesson in the next 30 days, calculated per-event using the student's plan, service, and any credits. Uses the same logic as the Events report.

Amount paid out

Sum of all payroll items with a timestamp in the date range (the payDollars field). One number across all staff.

Outstanding credits value

Total dollar value of all active, non-archived credits with remaining uses, calculated as creditValue × uses × duration ÷ 60. Uses the same logic as the Outstanding Credits Report.


Operations tab

Operations metrics are built from lessons (events) and member records. Almost everything here only counts lessons with a status of Occurred — meaning the lesson actually happened. Cancelled, no-show, and not-yet-happened lessons are excluded unless noted.

Upcoming lessons (next 7 days)

Count of all lessons scheduled to start in the next 7 days, regardless of status (private and group). This is the only Operations card that looks at future-dated lessons.

Active students

Distinct count of students who attended at least one lesson (status = Occurred) in the selected date range. A student attending 10 lessons counts once.

New students

Distinct count of members who signed up during the date range AND have at least one enrollment. Members created without any enrollment aren't counted.

Active staff

Distinct count of instructors who taught at least one Occurred lesson in the date range.

Most active staff

The instructor who taught the most Occurred lessons in the date range, plus the count.

Conversion rate

Not yet implemented — shows a placeholder.

Trial students

Not yet implemented — shows a placeholder.


Leads tab

Leads metrics are built from lead cards in your CRM. Every metric on this tab only counts opportunities created during the selected date range — moving an old lead through stages today won't change these numbers unless that lead was also created in the range.

The six possible lead stage categories are: NEW → CONTACTED → TRIAL → ENROLLED → LOST → OTHER. These can be seen in settings in your CRM.

New leads

Total count of opportunities created in the date range, across every stage (NEW + CONTACTED + TRIAL + ENROLLED + LOST + OTHER). This is your top-of-funnel volume.

Leads converted

Count of opportunities created in the range that reached the ENROLLED stage.

Lead conversion rate

Leads converted ÷ New leads × 100. The percentage of new opportunities in the range that ended up enrolled.

Active leads

Count of opportunities in the range that are in any stage except ENROLLED — so NEW + CONTACTED + TRIAL + LOST + OTHER.

Trial requests

Count of opportunities in the range that are in the NEW stage.

Active sales staff

Distinct count of staff members assigned to any opportunity created in the date range, in any stage.

Top performing sales staff

The staff member with the most ENROLLED opportunities (created in the range and assigned to them), plus the count.
