How to set up CRM columns (lead stages) in Noto

This guide shows you how to set up the columns on your CRM board in Noto. In Noto, each column on the leads Kanban view is called a lead stage, and stages live on a CRM board. You can rename them, recolor them, reorder them, and create multiple boards for different pipelines (e.g., a separate board for privates vs group classes).
Where to find CRM column settings
From the dashboard, go to CRM in the left navigation.
Click Settings (top right of the Leads page).
You'll land on the Board settings page. The currently selected board is shown next to the page title — use the board selector to switch boards.
The list under Lead stages is the set of columns that appears on this board's Kanban view.
Add a new column (lead stage)
On Board settings, make sure the correct board is selected.
Click Add lead stage in the top right of the Lead stages section.
Fill in the dialog:
Stage name — the label that shows at the top of the column on the Kanban board (e.g.,
Trial Booked,Follow Up).Stage type — controls how Noto treats leads in this column. These stage types feed into metrics in the Analytics dashboard:
NEW— brand-new leads who haven't been worked yetCONTACTED— leads you've reached out toTRIAL— leads currently on a trialENROLLED— converted leads (won)LOST— leads that didn't convertOTHER— anything that doesn't fit the categories above
Stage color — the accent color used for this column on the Kanban view.
Click Create stage.
You should see the new stage appear at the bottom of the Lead stages list and as a new column on the Leads Kanban board.
Tip: Stage name is just a label — you can call a TRIAL stage anything you want (e.g., Free Week, Intro Offer). The stage type is what drives reporting and automation, so pick it carefully.
Reorder columns
The order of stages in the settings list is the order columns appear on the Kanban board, left to right.
On Board settings, hover over the stage you want to move.
Drag it up or down using the drag handle on the left of the stage row.
Drop it in the new position — the order saves automatically.
Rename, recolor, or edit a column
On Board settings, click the stage row you want to edit.
A sidebar opens on the right with the stage's name, type, and color.
Update any field — changes save automatically.
Archive a column you no longer use
Noto uses soft archiving so historical lead data stays intact.
On Board settings, click the stage you want to remove.
In the sidebar, click Archive.
Confirm the archive in the dialog.
Archived stages no longer appear on the Kanban board, but past leads tied to that stage keep their history.
Create a separate board for a different pipeline
If you run more than one pipeline (e.g., Memberships and Personal Training), give each its own board so the columns don't get mixed.
On Board settings, click the board selector next to the page title.
Choose Create new board from the dropdown.
Name the board and save.
Add stages to the new board using the steps above.
You can switch between boards from the same selector on both the Settings page and the Leads Kanban view.
