How to edit or remove sessions from the calendar

This guide shows you how to change a session's details, move it to a new time, or remove it from your calendar. Use it whenever a client needs to reschedule, you booked a session by mistake, or session details (staff, service, location, notes) need to be updated.

Permissions

  • Editing/Removing sessions can be done by admins as well as instructors (for their own sessions).

Open the session

  1. Go to Calendar and Find the session on the calendar. Use the date picker or the day / week / month view toggle to navigate.

  2. Click the session to open its details panel.

You should see the session's client(s), staff, service, time, location, and status.

Edit a session's details

Use this when the time, staff, service, location, or notes need to change — but the session is still happening.

  1. Open the session (steps above).

  2. Click Edit.

  3. Update any of the following:

    • Date and time — change the start/end time or duration

    • Staff — reassign to a different instructor

    • Location — change the room/location

    • Clients — add or remove attendees (for group sessions)

    • Notes — add internal notes visible to staff

  4. Click Save.

There will be an option to notify attendees and staff upon making changes.

Reschedule to a new time (drag-and-drop)

For a quick time change on desktop:

  1. Click and hold the session block on the calendar.

  2. Drag it to the new time slot.

  3. Confirm the change in the dialog that appears.

This is the fastest way to move a session without changing anything else.

Remove a session

There are two ways to remove a session:

Cancel

The session shouldn't happen — client cancelled, no-show, weather, etc.

Session stays on the calendar marked as cancelled. Credits, packages, or payments are returned per your cancellation policy. History is preserved.

Delete

The session was created by mistake and should never have existed.

Session is removed entirely. Use sparingly — you lose the record.

Cancel a session

  1. Open the session.

  2. Change "Pending" to either Late Cancelled or Cancelled depending on your cancellation policies.

  3. Optional: Add a shared or private note with the reason for cancellation.

The session will remain visible on the calendar with a cancelled status so you have a record of what happened.

Delete a session

  1. Open the session.

  2. Click Edit, then Delete.

  3. Confirm.

The session is removed from the calendar. This action cannot be undone.

Recurring sessions

If the session is part of a recurring series, you'll be asked to choose a scope:

  • This session only — applies the change to the single occurrence

  • This and all future sessions — applies to today's session and every session after it

  • Custom — pick specific occurrences in the series to apply the change to (used when this enrollment has multiple recurrences on multiple days)
