How do I set up locations in Noto?

This guide shows you how to set up your locations in Noto and explains how locations are used across the platform. Whether you run a single studio, multiple sites, or offer online classes, locations are the foundation that scheduling, enrollments, and reporting all build on.

What are locations used for?

Locations represent the places where your services happen — a physical studio, a satellite site, a park, or an online meeting room. In Noto, locations are referenced throughout the product:

  • Enrollments — member enrollments are tied to a location for billing and reporting. Sessions booked under enrollments will also have this location assigned by default

  • Events and sessions — each scheduled session can be assigned to a location (and optionally a specific room within it)

  • Rooms — rooms (e.g., "Studio A", "Mat Room") live inside a location for finer-grained scheduling

  • Reporting and analytics — dashboards filter and segment by location so you can compare performance across sites

  • Member-facing scheduling — members can filter classes by location when browsing or booking

Adding Locations

  1. Open the Locations page

    1. In the dashboard sidebar, go to Locations. You'll see a grid of cards for each location, each showing the location's color, name, and address.

  2. Add a new location

    1. Click + Add Location in the top right. A dialog will open.

  3. Fill in the location details

    1. Name (required) — what you want to call this location (e.g., "Downtown Studio")

    2. Address (required) — the physical address or a short description (e.g., "123 Main St, Suite 200")

    3. Color (optional) — pick a color from the palette or enter a hex code. This color is used to visually distinguish the location on the schedule. If you skip this, Noto assigns a random color.

    4. Click Save to create the location.

  4. Add rooms (optional)

    1. On the location detail page, you can add rooms — sub-spaces within the location (e.g., "Studio A", "Reformer Room"). Rooms are useful if you run concurrent sessions at the same location or want to manage capacity per space.

Built-in locations: Online and Other

Noto automatically creates two special locations that you can't edit or archive:

  • Online — for virtual sessions. Don't add a meeting link here; instead, each staff member configures their personal meeting link (Zoom, Google Meet, etc.) on the Staff page. Noto displays that link on any online session they teach.

  • Other — for sessions with a custom, one-off address (e.g., a pop-up class at a park). When you schedule into this location, you enter the specific address on the session itself.

These two locations are always available alongside your custom ones, so you don't need to set anything up to start offering online or off-site classes.

Verify it worked

  • Your new location appears as a card on the Locations page

  • When you create a service or event, the location is selectable in the location dropdown

  • The location's color shows up on the schedule for any sessions assigned to it

Archiving a location

If you stop operating out of a location, open its detail page and click Archive Location. Notes:

  • Archiving a location also archives all rooms inside it

  • Past and future events keep their original location for historical accuracy — archiving doesn't rewrite history

  • The Online and Other locations can't be archived
