How do I set up a group class?

This guide walks you through creating a group class in Noto, configuring Tracks to manage multiple cohorts or meeting days, setting a billing plan, enrolling students, and setting up drop-in attendance.


Create the group class service

  1. Go to Services in the left sidebar and select Group Services.

  2. Click Add Service and give your class a clear name (e.g., "MCAT Foundations," "Summer Band Program," "Toddler Tunes").

  3. Optional: Set a capacity for the class. This can be overridden at the track or session level.

  4. Optional: Designate if this group class allows for drop-ins and/or has tracks.

  5. Assign the instructor(s) eligible to teach this class. This can be overridden at the track or session level.

  6. Set a location if applicable. This can be overridden at the track or session level.

  7. Click "Continue" to schedule the sessions of this group class.


How do tracks work?

Tracks let you manage separate enrollment lists and rosters within a single group class service. Without Tracks, every enrolled student is on one shared roster for the class. With Tracks, you can split students into distinct groups — each with their own roster, sessions, and capacity — while keeping everything under one service in your list.

When to use Tracks

Tracks are the right tool any time students within the same class need to be separated. Common scenarios:

  • Multiple meeting days/times — e.g., a "Piano Express" class that meets Mondays, Wednesdays, and Thursdays. Each day gets its own track so Monday students don't appear on Wednesday's roster.

  • Semester or session cohorts — e.g., a "June Cohort" and a "July Cohort" running back-to-back. Tracks keep enrollment and attendance clean per cohort without creating a new service each time.

  • Skill-level groups — e.g., "Beginner," "Intermediate," and "Advanced" sections of the same class type.

How to set up Tracks

  1. Open the group class service and go to the Tracks tab.

  2. Click Add Track and name it clearly (e.g., "Mondays," "July Cohort," "Beginner").

  3. Repeat for each grouping you need.

  4. When scheduling sessions, assign each session to its track.

  5. When enrolling a student, assign them to their specific track. Students on a track only appear on that track's roster and attendance sheet.


How do drop-ins work?

Drop-in allows students to self-book into individual sessions without being enrolled in a recurring billing plan. It's useful for free trials, paid one-off visits, makeup attendance in a different track, or credit-based "gym-style" memberships where students self-book any available slot.

Enabling drop-in on a class

Drop-in is toggled at the group class level:

  1. Go to Services > Group Services and open your class.

  2. Find the Drop-in toggle and enable it.

  3. Set a drop-in price. Set this to $0 for free trial sessions or for classes where billing is handled separately.


Scheduling a group class

  1. After creating the group class, click Continue at the bottom to schedule sessions.

  2. If tracks are enabled, name the track, enter a description, and set the location, instructor, and recurrence of this track.

  3. If you are creating multiple tracks, click "Save and add another" and repeat.

  4. Once all sessions have been created for all tracks, click "Back". The sessions should then display in the calendar.

Tip: If you need to override capacity for a specific session within a track (e.g., a makeup session with extra seats), edit that individual session's capacity. You can apply the change to all future sessions in the series if needed.


Enroll students

Manual enrollment (admin-side)

  1. Open the student's member profile.

  2. Click Enroll and select your group class.

  3. Choose the billing plan and, if applicable, assign the student to a Track.

  4. If the student has a payment method on file and auto-pay is enabled, billing will start automatically per the plan schedule.

  5. To apply a discount (e.g., a sibling discount), use the Edit Enrollment menu to add a percentage or dollar amount off. Alternatively, create a separate discounted billing plan (e.g., "Sibling Rate") and enroll the student in that plan instead.

Self-enrollment via form

Noto supports self-enrollment forms for group classes. Students can sign up, pay, and appear on the roster without any admin action. To set this up:

  1. Go to Group Classes -> Self Enrollment Forms and create a new self-enrollment form linked to your group class.

  2. Share the link on your website, in an email, or via your booking page.

  3. Students will see available sessions, select their spot, and submit payment (credit card or ACH).

Archiving a group class/track

When a class concludes, archive it to remove it from your active service list:

  1. Go to Services > Group Services.

  2. Open the class or the track and select Archive.

Archiving preserves all historical data — invoices, attendance records, and enrollment history remain intact.
