Linking email to Noto

Noto supports two separate kinds of email connections: a personal email each staff member connects for sending messages from the emailer, and an organization-wide address that Noto uses to send automated notifications. This article explains what each one is for and where it shows up in the app.

Both your personal and connected organization emails automatically sync all messages to the member's profile. Whether sent from Noto or your email client, emails are matched to the member using the email address stored in Noto. You can view these emails on the member profile page or, if available, on the CRM lead card. Additionally, you can draft and reply to emails directly from these locations.

Where to connect your email

You can connect both your personal and organization email from Settings > General > Communications > Email

Your personal connected email

Each admin can connect their own Google (Gmail or Google Workspace) account to Noto. Once connected, that address becomes the default "from" address when you use the Email page to send messages to members.

A few things to know:

  • The emailer defaults to your own connected email, but you can choose which connected address to send from at send time.

  • Emails you send through the Noto emailer are logged on the member's record under their Activity section, so other staff can see the history of communication.

  • From the Member Portal sidebar, clicking a member's email address opens the emailer with that member pre-filled in the To field — a quick way to start a one-off message.

Your organization's transactional email

Separately from personal connections, your organization has a single email address designated for transactional messages. Any admin can set or change this address, and it is shared across the org.

Noto uses the transactional address to send:

  • Event reminders

  • Payment notifications

  • Form submission emails

  • Invoice reminders

Because this setting is independent of personal connected emails, changing your own connected Gmail does not change where transactional notifications come from, and vice versa.

Which one do I need?

  • If you want messages you compose in Noto to come from your own address (and to be tracked back to you), connect your personal Google email.

  • If you want to control the address members see on automated reminders and notifications, set the org-level transactional email.

Most schools end up using both: each staff member connects their own Gmail for day-to-day correspondence, and the org sets a single shared address — often something like a general office inbox — for system-sent reminders.
