How do I set up self-scheduling links?

Self-scheduling links is a feature to allow clients to book sessions directly on a staff member's calendar. Self scheduling links are useful for scheduling new client consultations, trial sessions, and drop-in sessions that require payment in advance.

Before your clients can see any available schedule slots, you need to define your availability via Staff Available blocks. Follow the directions below to set up your availability, and then proceed to the Self-Scheduling Links section.

Configuring your scheduling availability

  1. Navigate to Calendar on the left-hand navigation bar. Click and drag on the calendar and click “Availability”.

  1. Name the availability session and select the instructor and location.

    1. Staff can set their availability blocks on their own calendar as well.

    2. If your clients are scheduling for specific locations, then you must specify the location of this availability block. If your clients are only scheduling for online sessions, then the location can be left blank.

  1. Specify the recurrence by checking Recurring Session, then set the start and end dates and the days and times for the recurrence. You can add as many availability blocks as you’d like.

  1. To mark yourself unavailable, you can delete the block or add a Staff Unavailable block to your calendar. Sessions in Noto and sessions synced from Google Calendar that are marked as busy will also prevent bookings and mark you as unavailable on your self-scheduling link.

Self-Scheduling Links

  1. Navigate to “Self-Scheduling Links” on the left-hand navigation bar and click “+ New Scheduling Link”.

  1. Name this scheduling link, optionally add a description and helper text, specify if this link should be public or authenticated, and specify the instructors this link can be used.

    1. Use a public link for forms intended for new clients. Require authentication for forms meant for existing students.

  1. Configure the booking options by selecting the service type, duration, and price for each option and select which locations this link can be used for.

  1. Configure the “Booking Rules” and specify who should be notified upon scheduling sessions.

a. If “Create tentative sessions” is checked, then sessions booked will then require instructor or admin approval before they are confirmed.

  1. To share this link, you can email it, include it in your Contact Us form, or link to it directly on your website.

How do I prevent students from booking a session that conflicts with my existing events?

All sessions in Noto and sessions synced from Google Calendar that are marked as busy will also prevent bookings and mark you as unavailable on your self-scheduling link. To sync your Google Calendar, follow the steps in this article.
