How does the marketing suite work?

Overview

The embedded Marketing Suite in Noto allows businesses to create, target, automate, and track communications with members directly inside the platform. It includes tools for email templates, segments, campaigns, triggers, and reviews, all designed to work seamlessly with Noto’s CRM and class enrollment data.

This article provides an overview of each component and how they work together.

Email Templates

Email templates are reusable designs used when creating campaigns or automated emails.

You can create templates in two ways:

  • AI-generated templates

    • Provide a prompt and your website URL

    • Automatically pulls your branding, including colors and fonts

  • Manual templates

    • Drag-and-drop editor

    • Add images, text blocks, and call-to-action buttons

    • Fully customizable layout and design

Templates are ideal for recurring communications that follow a consistent style.

Migrating existing templates: If you have existing templates outside of Noto, you can paste the raw HTML into the AI Template Creator to quickly adapt your current designs in Noto.

Segments

Segments define who your communications are sent to. They are groups of filters applied to members in your database.

Segments can be created:

  • Manually

  • Using AI

Available Segment Filters

  • Member fields

    • Includes all standard and custom fields (e.g. graduation year), birth day, guardian vs dependent, etc.

  • Customer lead status

    • Matches CRM lead stage (e.g. prospective students)

  • Enrolled Services and Status

    • Filters by active enrollment in group or private classes

Example Segments

  • Students graduating in a specific year (e.g. 2026)

  • New prospective students (Lead Stage = New)

  • All active students (enrolled in any service)

Segments are reused across campaigns and triggers to ensure targeted messaging.

Campaigns

Campaigns are manual emails or texts sent to a selected audience.

They are best used for:

  • Monthly updates

  • Announcements

  • One-off communications that require editing each time

Creating a Campaign

  1. Choose your target segment (e.g. all active students)

  2. Design the email:

    • Use AI

    • Or apply an existing email template

  3. Edit the copy for the specific message

  4. Save the campaign

Sending Options

  • Send immediately

  • Schedule for a future date

After sending, you can:

  • See exactly who received the message

  • Track delivery and status

Triggers

Triggers are automated emails or email sequences that send when members join a segment. They are ideal for:

  • Welcome emails

  • Onboarding sequences

  • Lifecycle communications

How Triggers Work

Triggers activate when a customer joins a segment

Example: New Student Welcome Email

  • Trigger condition: Customer joins the “Active Students” segment

  • Action:

    • Send a welcome email immediately

    • Optionally send follow-up emails after a delay (e.g. 2 days later)

Triggers can include:

  • Multiple steps

  • Custom timing between emails

Once activated, triggers run automatically with no manual intervention.

Reviews

The Reviews feature helps collect and manage both internal feedback and Google reviews.

Review Links

  • Create a shareable internal review link

  • Can be included in campaigns or triggers

Smart Review Routing

You can configure review behavior based on rating:

  • 5-star reviews

    • Redirect users to your Google review page

  • Lower ratings

    • Keep feedback internal for tracking and improvement

Review Insights

The Reviews dashboard shows:

  • Incoming reviews

  • Star ratings

  • Overall business performance over time
