What's new

Apply makeup credits when self-scheduling online

Members and guardians can now apply a makeup credit while booking online — no need to contact staff afterward. During self-scheduling (on the member portal or a public scheduling link), a toggle on the confirmation step lets them redeem a credit. The soonest-expiring eligible credit is applied automatically, bringing the session cost to $0.

Makeup credits track booked uses at the time of scheduling, so the credit is reserved immediately and won't be double-booked.

Resources page added to member portal

Members now have a dedicated Resources page in their portal where admins can publish rich-text links to external files and folders — such as Google Drive or Dropbox — for easy access in one place. Admins can share resources with all members or target them to specific individuals. Guardians see a separate block for each of their dependents, so the right resources are always easy to find.

Admins can now impersonate members or staff

Org admins can now impersonate any staff member or member, seeing the dashboard exactly as that user does — making it much easier to troubleshoot access issues or verify that permissions are set up correctly. A prominent banner displays the impersonated person's name and role, with a clear "Stop impersonating" button to return to your own session.

Auto-issue invoice credit on staff cancellation

When staff cancels a lesson, eligible prepaid plan members now automatically receive an invoice credit — no manual adjustment needed. The cancellation policy settings have also been redesigned into clear, balanced policy cards, making it easier to review and configure your rules at a glance.

IVR menu, call greeting, and spam gating for inbound voice

Your Noto number can now greet callers and route them with a press-a-key menu — no extra cost, no separate phone system needed. Here's how to set it up in the call branching admin screen:

  1. Write your greeting message — callers hear this before the menu options are read out.

  2. Define menu options by setting the digit a caller presses and a short label (e.g. "front desk" or "billing"). The label is read aloud in the prompt.

  3. Assign forwarding numbers to each option so different keys reach different people.

If a caller doesn't press a valid key, the menu replays up to 3 times, then routes to voicemail. If you only have one branch configured, Noto skips the menu entirely and connects the call directly.

Monthly recurrence option added to scheduling

Users can now schedule recurring sessions on a monthly cadence — e.g. "every third Tuesday" — directly from the recurrence form. Options are dynamically derived from the chosen start date, matching the Google Calendar experience.

Improvements

Left-hand nav redesigned into usage-based groups

The main navigation has been reorganized into six clearly labeled sections — Scheduling, Engage, People, Catalog, Finance, and Other — replacing the previous flat list. The new groupings reflect how staff actually move through their work, making it faster to find the right page without scrolling through an undifferentiated menu. Several underlying pages have also been refactored to support deep-linking and cleaner sub-navigation, so shared links now land you in exactly the right place.

Mobile day view calendar is now actually usable

The Day view on mobile has been rebuilt from the ground up. Staff columns now stay narrow-but-readable with horizontal scrolling, so you can see everyone's schedule without columns collapsing into unreadable slivers. Event cards also fill their columns cleanly edge-to-edge, making it much easier to read and tap into sessions on a small screen.

Pending auto-apply items previewed before invoice finalization

When you finalize a draft postpay invoice, the finalization dialog now shows any pending auto-apply line items before the invoice is confirmed — including how many items are waiting, the dollar amount they'll add, and the projected new total. This means the final invoice total is no longer a surprise after you click Finalize.

When finalizing multiple draft invoices at once, the dialog breaks this down per family so you can see exactly what will change for each one before committing.

New Conversation modal is now mobile-friendly

The Text & Voice "New Conversation" modal now renders as a full-screen overlay on mobile, with avatar rows, dividers, a search field, and a pinned "Open Chat" button — matching the app's standard mobile UI patterns instead of overflowing the viewport.
